Welcome to the website (the “Site”) of Flowzy FZC (“Flowzy”, “flowzy.ai”, “we”, “us” and/or “our”). This Site is operated by Flowzy FZC, registered in Ajman Free Zone, United Arab Emirates, and has been created to provide information about our company and its AI automation services (together with the Site, the “Services”) to our visitors and customers (“you”, “your”). “Personal Data” means any information relating to, or which can reasonably be ascribed to, an identified or identifiable natural person.
There are two classes of users possibly impacted by the Services: representatives of entities that contract with us or that might be interested in contracting with us (“Customers”), and the persons about whom Customers may collect information or data within systems we build or operate for them (“Customer End Users”). This Privacy Policy sets out Flowzy’s policy with respect to Personal Data collected from visitors to the Site and users of the Services.
Note to Customer End Users: our Services allow Customers to build automated flows, sometimes using APIs, that may process Customer End User Personal Data. We process that data on behalf of and under the instructions of the Customer. We do not control how a Customer uses the Personal Data they collect from you. If you are a Customer End User and wish to exercise any of your rights with respect to your Personal Data, please contact the Customer directly; we will cooperate with them on any lawful request.
Customers may store and transmit information using the Services which may include:
- Name, email address, physical address, phone number and other similar contact information;
- Payment information, including credit card and bank account information;
- Information about location;
- Information about a Customer End User organisation and contacts, such as colleagues or people within your organisation;
- Usernames, aliases, roles and other authentication and security credential information;
- Content of feedback, testimonials, inquiries, support tickets and any phone conversations, chat sessions and emails with or to us;
- Images (still, video and in some cases 3D), voice and other personal identifiers;
- Information regarding identity, including government-issued identification information;
- Corporate and financial information; and
- VAT numbers and other tax identifiers.
Categories of Personal Data we collect
Site visitors
For anyone who visits the Site, we may collect information automatically using web tracking technologies such as cookies and first-party analytics to ensure that the Site operates efficiently and to understand how it is used, such as the pages visited, the referring site, browser type, language preference, approximate country, device type and the date and time of each request.
First-party analytics: with your consent, our own analytics records page views using a pseudonymous daily identifier derived from your IP address and browser signature, which cannot be reversed to identify you and changes every day. No analytics data is collected if you decline analytics cookies.
Google Analytics: with your consent, we may also use Google Analytics 4 with IP anonymisation and Google Consent Mode. Google processes this data in accordance with its own privacy policy.
Cookies: a cookie is a small piece of information that our server gives to your browser when you access the Site. We use strictly necessary cookies (for example to remember your cookie choice and to keep team members signed in to our internal dashboard) and, only with your permission, analytics and marketing cookies. If you are a visitor and make an inquiry through our contact form, email, phone or the AI assistant, we collect your name, email address, company and any other contact information you provide so that we can respond to your inquiry.
Customers
When you register for or purchase our Services, we collect the name, business you work with, email address, address and billing details needed to administer the Services. Our payment processor collects your billing information (card details, address and name) to process payments.
In order to deliver certain Services, we may need to connect with third-party online services you ask us to integrate with (“Third-Party Services”). Where this requires access credentials, we store them securely and use them solely for the agreed integration.
We also collect IP addresses, device identifiers and log information in connection with your account and usage to administer the Services, provide support, improve your experience and monitor for fraud, misuse and other reasons permitted by law.
How we use your Personal Data
Providing the Services
We use Personal Data to administer the Services, process payments and provide customer support. If you provide Personal Data for a certain reason, we may use it in connection with the reason for which it was provided. For instance, if you contact us by email, we will use the Personal Data you provide to answer your question or resolve your problem.
Direct marketing and improvement of the Services and Site
Flowzy may use your Personal Data and other non-identifiable information collected through the Services to improve the content and functionality of the Services, to better understand our users and to improve the Services. We may use this information to contact you about services we believe will be of interest to you. Each such communication will contain instructions permitting you to opt out of future communications. If at any time you no longer wish to receive communications from us, please contact us as indicated below.
Detecting fraud and misuse
We review logs and Personal Data to detect fraud, misuse, illegal activity or violations of our terms.
Use of the OpenAI API and the AI assistant
Overview: the Site and some of our Services use the OpenAI API to provide an AI assistant that answers questions about Flowzy and helps visitors find the right service. This section explains how the OpenAI API is used and what that means for your data.
Data shared with OpenAI: when you send a message to the AI assistant, the content of your message and the preceding messages in that conversation are transmitted to OpenAI to generate a reply. We do not send your name, email address or any other data you have not typed into the conversation. Please do not enter sensitive personal data into the assistant.
Purpose: generating contextual, relevant replies to your questions and, where you choose to leave your details, routing your request to our team.
Storage: conversations are stored on our servers so our team can review the quality of answers, follow up on requests and improve the assistant’s knowledge base. OpenAI processes API data under its API data usage policies and does not use it to train its models.
Your choice: use of the assistant is optional. If you prefer not to share data with OpenAI, do not use the chat and contact us by email or phone instead. You may ask us to delete a conversation at any time by contacting support@flowzy.ai.
Continuous improvement: Flowzy regularly evaluates its integration with the OpenAI API to ensure compliance with privacy regulations and best practices. Feedback is welcome.
Sharing of Personal Data
We share Personal Data only with service providers that help us run the Site and the Services (such as hosting, database, email, analytics and AI providers), with professional advisers, and where required by law. We do not sell Personal Data.
Retention and security
We keep Personal Data for as long as needed for the purposes described above, and for as long as required by applicable law. Data is transmitted over encrypted connections and stored with reputable providers that apply industry-standard security measures.
Your rights
Depending on where you live, you may have the right to access, correct, delete or restrict the processing of your Personal Data, to object to processing, and to data portability.
